One record, from draft to the filed copy.

Instead of a Word template, a separate e-signature tool, a spreadsheet of POs and a forwarded email to finance, each engagement moves through five steps in one place.

    Pick a template and a contractor, then fill in the engagement: project, role, dates, fees and invoice schedule.

    Review

    Optionally route it to an internal reviewer, who approves it or returns it with comments.

    Sign

    Your signatory signs first. The contractor then verifies with a one-time code and signs or rejects.

    Store

    The executed PDF, with its audit report and document hash, is stored write-once and kept for six years.

§ 02Features

Built around how contractor agreements actually work.

A master agreement sets the terms once. Each engagement adds who, what, when and how much. ContractCore is shaped around that structure, not a blank document.

  • Master agreements and engagements

    Sign a master agreement once with each contractor, then issue a short engagement document for each piece of work that incorporates it by reference. Existing signed agreements can be uploaded.

  • Structured templates

    Merge fields for parties, project, role, dates and locations. Published templates are versioned and locked, so every contract shows exactly what was issued.

  • Fees that add up

    Fee lines with unit, quantity and rate, including part days. Staged invoice schedules are checked against the fee total before anything is sent.

  • Optional internal review

    A reviewer approves or returns an engagement before it reaches your signatory. Switch it on per template or per engagement.

  • Two-party e-signing

    Your signatory signs first, then the contractor. Either can reject with a reason, and every step is recorded in the audit trail.

  • Automatic distribution

    When both parties have signed, the executed copy goes to the sender, the contractor and the recipients you nominate.

  • Roles and permissions

    Owner, contract manager, author, finance and viewer roles, with signatory and reviewer permissions granted to named people.

  • Individuals or companies

    Engage sole traders or companies. A company contractor names the authorised person who signs on its behalf.

§ 03Finance and POs

Finance sees the numbers before the work starts.

Fees, VAT, invoice schedules and purchase orders live on the engagement itself, so finance is not chasing a PDF to find out what was agreed.

  • Totals are calculated from unit, quantity and rate, never typed in.
  • Optional VAT per engagement at 23%, 13.5%, 9% or 0%, shown as net, VAT and gross.
  • Staged invoice schedules must reconcile to the fee total before sending.
  • PO numbers on every engagement, with alerts when a PO is due before the start date.
  • A finance role that sees fees and POs, and receives executed copies automatically.

No accounting integration at first: ContractCore keeps the contract, and your accounting system keeps the books.

§ 04For contractors

Signing takes a couple of minutes, not an account.

Your contractors and suppliers get a clear, verified way to read and sign, and a copy of what they signed.

  1. A secure link by email

    Single-use and time-limited, sent once your signatory has signed.

  2. A one-time code

    Sent to the same address, so only the named person can open it.

  3. Read, then sign

    The full document, on a phone or a laptop. No account, app or password.

  4. Or reject with a reason

    Something wrong? The reason comes straight back to you to fix and resend.

  5. A signed copy to keep

    Emailed with its audit report as soon as both parties have signed.

Signatures are simple electronic signatures under eIDAS and the Electronic Commerce Act 2000, with an audit report and document hash appended to every signed PDF.

§ 05Security and storage

An executed contract should stay exactly as it was signed.

Signed documents are sealed, hashed and stored write-once, and every action is recorded.

  • Write-once storage

    Executed documents are stored write-once and never overwritten. Downloads use short-lived signed links.

  • Audit report and hash

    Every signed PDF carries an audit report: who signed, when, from which verified address, and a SHA-256 hash of the document.

  • Multi-factor authentication

    MFA for your team’s accounts. Contractors verify every signing link with an emailed one-time code.

  • Access enforced in the database

    Each organisation’s data is isolated with row-level security, and confidential engagements are visible only to people given access.

  • EU data residency

    Contracts, documents and audit records are hosted in the European Union.

  • Six-year retention and export

    Executed contracts are kept for six years after the engagement ends, with bulk export whenever you need your records.

Questions we are asked.

How do we get started?

Book a walkthrough. We will look at your current agreements, set them up as templates, and invite your team.

Does the contractor need an account?

No. Contractors receive a secure link by email, confirm their identity with a one-time code sent to the same address, and sign or reject. They never create an account or remember a password.

What kind of electronic signature is it?

A simple electronic signature under eIDAS and the Electronic Commerce Act 2000, backed by a full audit report and a document hash. That suits most contractor and supplier agreements, but some documents, such as deeds, need other formalities. Check with your advisers if you are unsure.

Can we bring our existing agreements?

Yes. You can draft and sign master agreements in ContractCore, or upload ones that are already signed and issue new engagements against them.

Does it connect to our accounting system?

Not at first. ContractCore keeps the contract, fees, invoice schedule and PO number, and sends executed copies to finance. Your accounting system stays the place for the books.

Where is our data kept, and for how long?

In the European Union. Executed contracts are kept for six years after the engagement ends, and you can export them in bulk at any time.
